Executive Assistant
Job Summary
We are seeking a highly organized and detail-oriented Executive Assistant to join our Tokyo office. This role requires a candidate with a strong background in administrative duties, excellent bilingual communication skills in both Japanese and English, and a deep understanding of both international and Japanese business practices.
Key Responsibilities
• Manage and prioritize the complex schedules and calendars of senior executives.
• Arrange domestic and international travel itineraries and accommodations.
• Prepare and edit correspondence, communications, presentations, and other documents.
• Handle confidential documents and information with discretion.
• Serve as the primary point of contact between executives and internal/external clients.
• Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, and participating in professional societies.
• Assist in the preparation of reports and analysis using various software.
• Coordinate meetings and events, including logistics, catering, and materials preparation.
• Prepare e-mails and letters in proper business/ Japanese language on behalf of the Country Manager
Job Requirements
• Bachelor’s degree or equivalent experience in business administration or related field.
• Minimum of 5 years of experience as an executive assistant or similar role.
• Fluency in Japanese and English, both written and spoken.
• Proficiency in Microsoft Office Suite, Google Workspace, and experience with ERP systems.
• Exceptional organizational skills and attention to detail.
• Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
• Ability to work independently on projects, from conception to completion.
