Position Overview
An Executive Assistant (EA) is a highly skilled professional responsible for providing comprehensive administrative support to senior executives, including C-suite leaders (e.g., CEO, CFO, COO), directors, and other top-level managers. This role requires exceptional organizational skills, communication abilities, and discretion to manage executive schedules, coordinate meetings, and liaise with stakeholders effectively.

Key Responsibilities
Calendar Management and Scheduling
- Manage and optimize the executive’s calendar, including meetings, appointments, and travel.
- Handle logistics for internal and external meetings, ensuring all preparations are complete.
Travel Coordination
- Arrange domestic and international travel, including flights, accommodations, and itineraries.
- Provide travel-related support, such as handling last-minute changes or updating documents (e.g., visas).
Communication Management
- Handle and prioritize emails, calls, and other communications on behalf of the executive.
- Draft and review correspondence, maintaining professionalism and confidentiality.
Document and Report Preparation
- Prepare and organize reports, presentations, and official documents.
- Maintain efficient filing systems for contracts and correspondence.
Meeting and Event Coordination
- Organize meetings, prepare agendas, and ensure materials are available.
- Coordinate events, board meetings, and conferences for smooth execution.
Project and Task Management
- Track project progress, ensure deadlines are met, and update the executive.
- Organize workflows and assist with task prioritization.
Expense Management
- Prepare and track expense reports and manage budgets.
- Handle purchase orders, invoices, and financial approvals.
Liaison and Relationship Management
- Act as a point of contact for employees, clients, and business partners.
- Build and maintain positive relationships on behalf of the executive.
Confidentiality and Discretion
- Handle sensitive information with integrity and maintain confidentiality.
Qualifications
Education
- College diploma or certificate (1-2 years program).
- Bachelor’s degree in business administration or related fields preferred.
Experience
- At least 5 years of experience in executive or administrative roles.
- Proven expertise in scheduling, communication management, and event coordination.
Skills
- Strong organizational and time-management skills.
- Excellent written and verbal communication.
- Proficiency in Microsoft Office and project management tools like Asana or Trello.
- Ability to handle high-pressure situations with professionalism.
