Marketing & Sales Support Administrator (US Based Client)
Work Schedule: Monday to Friday | 8:00 AM – 5:00 PM Pacific Time (PST)

Role Summary
We are seeking an experienced and detail-oriented Marketing & Sales Support Administrator to support our Marketing and Business Development functions. This is a multi-faceted role that combines administrative accuracy, digital marketing execution, CRM management, and inbound lead triage.
The ideal candidate has excellent communication skills, a strong command of modern marketing tools and CRM systems, and the ability to manage competing priorities efficiently. This position is integral to ensuring smooth client and candidate-facing operations while supporting internal teams with timely, organized, and actionable information.
Key Responsibilities 1. Customer Service & Applicant Triage

Monitor shared inboxes and respond to general inquiries, primarily from job seekers.

Triage incoming candidate messages:

Direct inquiries to job boards or application pages.
-
Manually upload resumes into the ATS if the applicant is not already in the system.

Maintain a professional and brand-consistent tone in all written communication.

Meet internal SLAs and escalate urgent matters when necessary.
- Inbound Lead Management

Manage all inbound leads generated through the website, white papers, and partner channels.

Classify leads:
-
Hot – Direct hiring requests (immediate recruiter routing).

Warm – Engaged prospects needing qualification (assigned to sales).

Cold – Low-intent leads added to nurture campaigns.

Track lead data accuracy in HubSpot and/or Bullhorn: lead source, response time, disposition.

Flag high-potential or unresponsive leads for follow-up.
- Social Media Management

Schedule and publish content across all platforms using Later.com or similar tools.

Execute recurring campaigns:

Weekly hiring updates.
-
Holiday greetings and milestone posts.

Candidate testimonials (including formatting and permissions).

Track and report social engagement metrics.

Recommend content improvements based on performance data.
- Website & Blog Administration

Maintain and update the company website (WordPress).

Format and publish two blog posts weekly, optimizing for readability and mobile responsiveness.

Coordinate with internal content contributors to ensure accuracy and brand consistency.

Perform basic text edits and layout adjustments as needed.
- Sales Support & Prospect Research

Build and maintain outbound prospecting lists.

Conduct company-level research in key industries (e.g., mining, manufacturing, semiconductors, services).

Identify decision-makers using platforms like ZoomInfo or Apollo.

Clean and prepare lead records before uploading to HubSpot or Bullhorn.

Support trade show/webinar planning by sourcing and formatting attendee and exhibitor lists.
Ideal Candidate Profile Experience & Background

5+ years in a marketing or sales support role, ideally within staffing, recruitment, or B2B services.
