Overview

The Office Manager oversees daily administrative operations, ensuring the office functions efficiently while fostering a positive work environment. Responsibilities include managing office supplies, coordinating services, supervising staff, and supporting senior management.


Key Responsibilities

1. Office Operations Management

  • Maintain an organized, clean, and functional office space.
  • Schedule and manage office activities, meetings, and events.
  • Ensure proper maintenance of office equipment.

2. Staff Supervision and Support

  • Supervise and train administrative staff (e.g., receptionists, clerks).
  • Schedule shifts, manage time-off requests, and evaluate staff performance.

3. Financial and Budget Management

  • Prepare and manage office budgets, monitor expenses, and approve purchases.
  • Process invoices and coordinate with accounting to ensure timely payments.

4. Administrative Support to Senior Management

  • Provide calendar management, meeting coordination, and travel arrangements.
  • Prepare correspondence, presentations, and filing systems.

5. Vendor and Facility Management

  • Coordinate with vendors and service providers for supplies and maintenance.
  • Negotiate contracts with favorable terms for the company.

6. Health, Safety, and Compliance

  • Ensure compliance with health, safety, and legal regulations.
  • Implement safety procedures and communicate company policies to staff.

7. Communication and Customer Service

  • Serve as the main contact for internal and external communications.
  • Handle inquiries professionally and maintain positive relationships with stakeholders.

8. Project and Event Coordination

  • Plan company events, team-building activities, and special projects.
  • Manage office-related projects within timelines and budgets.

Required Qualifications

Education

  • High school diploma required; Bachelor’s degree in Business Administration, Office Management, or related field preferred.

Experience

  • 1-2 years of relevant office administration or management experience.
  • Experience supervising staff is desirable.

Skills

  • Proficiency in MS Office (Word, Excel, PowerPoint) and office management software.
  • Strong organizational, communication, and problem-solving skills.
  • Knowledge of office health and safety regulations.
